This Privacy Policy explains how SalonSynq collects, uses, shares, and protects personal information when people use our websites, mobile apps, salon management tools, public booking pages, and related services.

SalonSynq may act in different roles depending on the situation.

For business account administration, authentication, app security, subscription billing, support, product improvement, analytics, and our own communications, SalonSynq is usually the controller of personal information.

For client booking information entered into a salon’s booking page or managed by a salon through the SalonSynq platform, the salon or professional is usually the controller, and SalonSynq acts as a processor providing software and hosting services. The salon or professional is responsible for making sure they have a lawful basis to manage their clients’ information and for giving any client notices required for their own business.

We collect information needed to provide and improve SalonSynq, including:

Account and identity information

Name, email address, phone number, authentication identifiers, login method, business role, profile photo, and account settings.

Salon and business profile information

Salon or business name, booking alias/link, logo, banner, address, service area, team members, working hours, service categories, services, prices, durations, add-ons, cancellation policy, booking terms, and availability.

Booking and client information

Client name, contact details, selected service, selected team member, appointment time, appointment status, booking reference, service address for home service bookings, notes entered into the booking flow, cancellation/reschedule history, review status, and related messages or reminders.

Payment and payout information

We use Stripe to process eligible payments, deposits, no-show charges, balance payments, subscription payments, and payouts. SalonSynq does not store full card numbers. We may store payment status, payment references, Stripe customer/account identifiers, transaction metadata, invoice metadata, refund status, and payout status.

If you buy or manage a SalonSynq subscription through the Apple App Store or Google Play, we may receive and store app store subscription information needed to verify and manage your subscription. This may include platform, product identifier, plan identifier, transaction identifier, original transaction identifier, purchase token, signed transaction or verification data, subscription status, renewal status, expiry date, cancellation status, refund status, and related app store notification metadata. We use this information to activate paid features, prevent fraud, restore purchases, show subscription status, process downgrades at the correct time, and keep subscription records accurate.

If a salon uses in-person contactless payment features, including Tap to Pay on iPhone, Tap to Pay on Android, or similar payment acceptance features, Stripe, Apple, Google, card networks, banks, or other payment providers may process information needed to prepare, authorise, authenticate, route, settle, refund, or dispute a transaction. This may include the amount, currency, payment status, device or reader metadata, location signals, card or wallet token information, receipt information, and risk or compliance metadata. SalonSynq receives limited payment status and transaction metadata and does not store full card numbers.

Device, app, and usage information

App version, platform, device token for push notifications, error logs, operational logs, IP address, approximate location derived from technical data, browser/device information, feature usage, and analytics events such as onboarding, service setup, booking creation, cancellation, reschedule, payment, and account deletion events.

6. Payments and subscriptions through Stripe, Apple, and Google

Payments are processed by Stripe. If a salon enables online payments, deposits, no-show protection, balance payments, subscription payments, or payouts, Stripe may collect and process payment information according to Stripe’s own terms and privacy notice. SalonSynq receives payment status and related transaction metadata, but we do not store full card details.

Subscriptions purchased through the Apple App Store or Google Play are processed by Apple or Google. We may verify subscription purchases and receive server notifications from Apple or Google to confirm whether a subscription is active, renewed, cancelled, expired, refunded, or in another billing state. Apple and Google process billing and account information under their own terms and privacy notices.

7. Notifications and communications

SalonSynq may send service messages such as booking confirmations, reminders, cancellation notices, reschedule notices, payment updates, security messages, review prompts, and support responses.

Marketing messages are handled separately from service messages. Where required, we will ask for consent and provide a way to opt out. Opting out of marketing does not stop essential service or security messages.

8. Cookies, SDKs, analytics, and similar technologies

Our website, web account, mobile apps, and booking pages may use cookies, local storage, mobile SDKs, and similar technologies to keep users signed in, remember settings, secure the service, understand usage, diagnose errors, and improve the product.

Some technologies are essential for the service to work. Others may be optional or used only where allowed by law. We will provide further cookie or tracking information where required.

When a business account is deleted, SalonSynq disables the public booking page and schedules account and salon data for deletion. Some records may be retained where required for legal, tax, payment, security, fraud, or dispute-resolution reasons.

12. Account deletion

Salon owners can request account deletion from the SalonSynq partner app. Deletion may be blocked while there are unresolved upcoming bookings, pending refunds, pending payouts, or similar operational obligations.

When deletion is accepted, the booking page is disabled and the account is scheduled for permanent deletion. Some limited records may be retained where required by law, accounting rules, payment obligations, fraud prevention, security, or dispute handling.

Depending on your circumstances, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal information. You may also have the right to withdraw consent where processing is based on consent.

If you are a client of a salon and your request relates to a booking or salon-managed client record, we may direct your request to the relevant salon or professional because they are usually the controller for that information.

We use technical and organisational measures designed to protect personal information, including access controls, encrypted transport where appropriate, cloud security controls, monitoring, and operational logging. No system is completely secure, but we work to protect the information entrusted to us.

SalonSynq is intended for business users and clients booking salon or personal care services. It is not directed at children. Salons and professionals are responsible for ensuring they have appropriate consent or lawful basis where they provide services to minors.

16. Changes to this policy

We may update this policy as SalonSynq evolves. Where changes are material, we will take reasonable steps to notify users or request renewed acceptance where appropriate.
